- Account information: name, email address, phone number, postal address, and password (stored securely hashed, never in plain text).
- Dog profile information: your dog's name, breed, age, birthday, and any notes you provide (e.g. behavioural or medical information).
- Booking information: dates, times, areas booked, and booking history.
- Payment information: processed securely by Stripe. We do not store your card details — only a reference to the Stripe transaction.
- Contact form submissions: name, email, and the content of your message.
- Newsletter subscription: email address, name (if provided), and subscription preferences.
- Technical data: IP address, browser type, and pages visited, collected automatically via cookies and server logs.
3. How we use your data
We use your personal data for the following purposes:
- To provide our service: processing bookings, sending confirmation and cancellation emails, and managing your account. Legal basis: performance of a contract.
- To communicate with you: responding to enquiries via the contact form. Legal basis: legitimate interest.
- To send marketing communications: newsletter updates, seasonal promotions, and dog birthday messages. Legal basis: consent. You can unsubscribe at any time.
- To improve our service: analysing booking patterns and site usage. Legal basis: legitimate interest.
- To comply with legal obligations: maintaining financial records and responding to lawful requests. Legal basis: legal obligation.
4. Third parties we share data with
We share your data with the following third-party processors, all of whom process data in accordance with GDPR:
- Stripe (payment processing) — processes your payment securely. Their privacy policy is available at stripe.com/privacy.
- Klaviyo (email marketing) — we share your name, email, and dog information to send relevant communications. You can unsubscribe at any time. Their privacy policy is available at klaviyo.com/legal/privacy.
- Cloudinary (image hosting) — hosts site images only, no personal data is shared.
- Nodemailer / SMTP provider (transactional email) — sends booking confirmations and contact form responses.
We do not sell your personal data to any third party.
5. How long we keep your data
- Account data: retained for as long as your account is active. If you request deletion, we will remove your data within 30 days, except where we are legally required to retain it.
- Booking records: retained for 6 years after the booking date for financial record-keeping purposes (as required by HMRC).
- Contact form messages: retained for up to 12 months.
- Newsletter subscriptions: retained until you unsubscribe.
6. Your rights under UK GDPR
Under the UK General Data Protection Regulation, you have the right to:
- Access your personal data (a “subject access request”).
- Rectify inaccurate personal data.
- Erase your personal data (“right to be forgotten”).
- Restrict processing of your personal data.
